Applications is a feature that people use to gather information from volunteers. When someone signs up to volunteer for a Ministry position, the admin can either create a new application or send an existing one to collect pertinent information. This information can then be added to the database or used for other administrative purposes. The fields are manually added to create the application providing you with a multitude of uses for this feature.
Click on the Applications Tab
Here you will see already created applications or have the ability to add new ones.
Once an application is created you can edit it at any time.
To create a new application:
Click on + Add Application at bottom of list.
Make sure to name & add a description specific to the Ministry you will be sending it for.
Don’t worry, you can edit this after you created the application.
Once you’ve created the application you can start populating the fields. Click on the “Fields” tab
Click on + Add New Field
TIP: Before you begin to build the application, draft a version on paper of what you would like the form to look like. This will save you time in the end when designing the application & help with flow.
Fill out the application Fields as desired.
TIP: When you add a ‘Field Type’ focus on what will make it the most simple for your users to fill out. For example: when asking what age group the volunteer is most interested in volunteering with, use the “Drop-Down Menu” field instead of the “Text Box”. This will narrow down the choices and help streamline your data.
Repeat until you have added all fields for the application.
Don’t worry if you forgot one, you can edit this and re-send to your recipient at any time.
NOTE: There is an option to “Require Social Security #” and or “Driver’s License #”. This is only necessary for certain applications that require driving or further security protocols. The background check feature requires it so don’t feel you need to include it unless absolutely necessary.
To send the application
Click the application name, for example: “Child Care Worker”.
Click on the “Send Application” tab and enter in the name of the recipient.
Reminder: the recipient must be in the database to send the application!
The recipient will receive an email with a link to click on and complete the application. See below:
